Phone Calls in BuildPass gives you an automatic summary of every call you make through the Supasite app. Summaries land straight in the right BuildPass project, no note-taking, no chasing up what was agreed.

Why use Phone Calls in BuildPass

Construction runs on phone calls. The problem is that decisions made on calls rarely make it back into the project. Someone agrees to a price, confirms a delivery date, or flags a scope change, and it stays in someone's head until there's a disagreement about what was said.

Phone Calls in BuildPass solve three things. First, it eliminates "he said, she said" disputes; every call gets a clear summary that both parties can reference. Second, it prevents decisions from getting lost: that concrete pour date, price confirmation, or Friday afternoon scope change gets captured and logged against the project automatically. Third, it gives your whole team a shared view of history; everyone can see what's been discussed with subbies, suppliers, and clients, without having to chase anyone.


How to get started

Step 1 — Download the Supasite app from the App Store (iPhone only during early access).

Step 2 — Open the app, go to the You section, tap Integrations, and log in with your BuildPass account.

Step 3 — Your BuildPass projects and contacts sync automatically. There's nothing to set up.

Step 4 — Make a call through the Supasite app. When the call ends, you'll get an instant summary.

Step 5 — The summary is sent to the relevant BuildPass project — either automatically or when you tap Send to BuildPass, depending on your settings.


Which calls get summarised

Only calls made through the Supasite app are summarised. Regular calls made outside the app are not captured, and that's by design. Supasite does not run in the background or listen to your phone.

Outbound calls — Open the app, tap your contact, make the call. It gets summarised and logged. This is the simplest way to use it.

Inbound calls — If someone calls your SupaNumber directly, the call comes through the app and gets summarised automatically. If someone calls your regular number, that call happens outside the app and won't be summarised, unless you've set up auto call-forwarding (see below) or use the merge call feature during the call.

Merge call (for inbound calls on your regular number) — If someone calls your regular number and you want the call summarised, you can merge it into Supasite during the call.

Auto call-forwarding (for seamless inbound) — Set up call forwarding in your iPhone settings to forward calls to your SupaNumber. When someone calls your regular number, it automatically routes through Supasite and gets summarised. The person calling you doesn't need to change anything — they keep calling the same number they always have.

How to Set-up auto call forwarding:

  1. Copy your SupaNumer

  2. Navigaet to iPhone settings

  3. Search for "Call Forwarding"

  4. Toggle Call Forwarding on

  5. Past your SupaNumer in the Forward To field


Your number vs. a SupaNumber

You have two options for how you make and receive calls through Supasite.

Use your existing number — Make outbound calls through Supasite using your personal or work number. You still get summaries, and they still go to BuildPass. Nothing changes for the person on the other end. The call just needs to go through the app.

Use a SupaNumber — A SupaNumber is a dedicated business number that lives inside Supasite (similar to an eSIM inside an app). Use it for both inbound and outbound calls. When someone calls your SupaNumber, the call comes through the app and gets summarised automatically. Combined with auto call-forwarding, this is the best setup if you want every call captured without thinking about it.


Settings: Always Send vs. Always Ask

When you connect your BuildPass account to Supasite, you choose one setting for how summaries are shared.

Always Send — Every call made through Supasite is sent to BuildPass automatically. No extra steps. Best for teams who want everything logged without thinking about it.

Always Ask — Each call summary stays on your phone in Supasite until you decide to tap Send to BuildPass. Best for people who mix personal and work calls and want control over what gets shared to the project level.

You can change this setting at any time inside the app.


Privacy and how it works

No audio is ever stored. Supasite does not record your calls. As the call happens, audio is streamed in real time for transcription — then immediately discarded. The audio is never saved, never stored, never accessible after the call ends.

Summaries, not transcripts. You don't get a word-for-word transcript. You get a clear, concise summary of what was discussed, what was agreed, and what needs action. This is a deliberate design choice — more useful and more respectful of everyone on the call.

Let the other person know. Recording and transcription laws vary by state. The simplest approach: tell the other person at the start of the call that you've got a note-taker running. "Hey, I've got an app that gives me a summary so I don't forget anything" is all it takes. After the call, share the summary with them — now you both have the same record.

Frequently asked questions

Are all my phone calls summarised automatically?
No — only calls made through the Supasite app are summarised. Regular calls made outside the app are not captured.

What about inbound calls on my regular number?
If someone calls your regular number, you can either use the merge call feature during the call to bring it into Supasite, or set up auto call-forwarding to your SupaNumber so all inbound calls route through the app automatically.

Do I need to tell the other person?
We recommend it. A quick heads-up at the start of the call is all it takes. Sharing the summary afterwards means you both benefit from the same record.

Can my whole team use it?
Yes. Everyone on your BuildPass team can download Supasite, log in with their BuildPass account, and start capturing calls. Summaries from all team members land in the relevant projects.

Does every call have to go to BuildPass?
No. If you've chosen Always Ask, each call summary stays on your phone until you decide to send it. You're in control of what gets shared.
