What is a Pre-Shift Meeting?

Pre-Shift Meetings are essential aspect of any construction project to ensure effective communication, safety compliance, and information dissemination among project members.

Managing Meetings in BuildPass​

Step 1: Accessing Meetings

Within Home, locate the "Meetings" section.

Step 2: Creating a New Meeting

Click on the option to create a new meeting. You will be prompted to fill in various details for the upcoming session.

Step 3: Fill in Meeting details

In the Meetings creation form, enter the following details:

  • Time – Set the time for the meeting, e.g., 1 p.m.

  • Type – Choose between Regular, Incident, or other.

  • Topic – Enter the topic of the meeting, e.g., "Safety on Site."

  • Adding Files – Attach any related files, such as safety documents.

Step 4: Distributing the Meeting

After filling in the Meeting details, click on "Distribute." You will have options to distribute to:

  • Signed on Today – Workers who have signed in today.

  • Inducted with the Project – Workers who have been inducted into the project.

  • All Workers – All active workers on-site.

Step 5: Distribution and Notification

For this example, select "Signed on Today" and click "Submit."

After submitting, selected workers will receive a notification about the upcoming at 1 p.m.

Step 6: Running the Meeting

At the scheduled time, access the meeting again and click on "Run." This is where you'll conduct the meeting.

Step 7: Taking Notes and Managing Attendance

During the meeting, you can take notes on discussions, including safety topics covered, and attach any additional files if needed.

Step 8: Marking Attendance

Mark attendance for invited Companies and workers who participated in the meeting. Click "Yes" for each attendee and save the attendance record.

Step 9: Adding Uninvited Attendees

If an uninvited Company or worker attends the meeting, manually add them at the end of the session. Save the meeting and generate a QR code for attendance.

Step 10: Distributing the QR Code

The QR code can be shared with workers, allowing them to scan and automatically add themselves as attendees. Options include:

  • Copying the link and sending it via message.

  • Downloading and printing the QR code for distribution.

Step 11: Viewing the Meeting Overview

After the meeting, access an overview that includes:

  • Date and time.

  • Creation date.

  • Agenda and notes.

  • List of attendees.

  • Scanned QR code activity.

  • Any attachments.
