How to assign schedule tasks to admins, companies, and workers

Assign tasks in your schedule to a person or company so that they can be kept up to date on the progress.

Step 1: Go to your schedule

Under Project management in the left-hand side menu, go to Scheduling.

Step 2: Find the task you want to assign someone to

Browse through your schedule to find the specific task you want to assign. Click on the task to view more details.

Step 3: Assign an admin, company, or that company's workers to a task

  • In the task detail view, click on the "Select assignee" button

  • Search for an admin, company, or worker to assign

  • The confirmation status will default to "Task not confirmed" and auto-saved to your draft.

Once assigned, the task status is set to not confirmed. If you already know they're attending, you can click the task status tag to update the status to confirmed.

Step 4: Save, review and notify

Once you're ready to share updates to the schedule:

  • Click on "Save" to review the changes you've made

    • You can choose to notify assignees about tasks via SMS or email

  • Check "Notify?" to send them a notification, or publish silently


What does the assignee see when confirming the task?

When you notify someone of a task assignment, they will get link to their tasks via SMS or email, per your choice.

The link does not need a login/password and will include:

  • Their name

  • Project adress

  • Schedule name

  • Any assigned tasks

  • A big green 'confirm' button, which will update the task status

Monitoring confirmation status

You can see which tasks have been confirmed:

  • Tasks that are still awaiting confirmation will display "Task not confirmed"

  • Once an assignee has confirmed, the status will update to "Task confirmed"

  • If an assignee indicates they cannot complete the task as scheduled, you'll receive a notification
