How do I create and manage an RFI in BuildPass?

Easily request information from internal teams or external contacts, track responses, and manage project impacts all within the RFI module.

The RFI module lets you create and manage Requests for Information directly in BuildPass. You can send RFIs to internal company contacts or external third parties, track replies, and manage any resulting actions or impacts.


Creating an RFI

To raise a new RFI:

  • Navigate to the RFI module under the Communications section in the left-hand menu

  • Select the green Raise RFI button

  • Enter a clear subject line

  • Add a detailed description outlining your question or request

Next, select your respondent. The respondent is the person responsible for providing the information. This can be:

  • A contact from your company list

  • A general contact from the Address Book

  • or a new contact that has been added directly from the RFI screen using Add New Contact

You can also add contacts to the CC field. The creator of the RFI is automatically included, and you can add any additional internal or external stakeholders who need visibility.

Set a due date to indicate when a response is required.

To provide additional context, you can link relevant project information:

  • Link drawings from the Drawings module if the RFI relates to a specific plan

  • Select a project location if locations have been configured

  • Define the Schedule impact and/or Cost impact

  • Upload supporting attachments such as documents, photos, or other files

Once all details are complete, select Send. The RFI will be issued to the respondent via email, and all responses will be tracked within the RFI module.


Responding to an RFI

Respondents can reply directly from their email. They do not need to log in to BuildPass.

When a reply is received:


All correspondence will be visible under the Replies section within the RFI. This keeps all communication tracked and centralised within the project.


Accepting a Response and Closing an RFI

Once you receive a response, you can review and accept the answer. After accepting the response, you can:

  • Confirm whether the RFI has any impact

  • Add follow-up actions if required

  • Close the RFI

Even after closing, the RFI remains visible within the RFI module. If you created the RFI, it will still be accessible in your list for future reference.
