Send workflow notifications to external recipients and project contacts

Send workflow email and SMS notifications to people outside BuildPass, including clients, engineers, and project contacts.

What this feature does

Workflow notifications can be sent to recipients who do not have access to BuildPass. This allows you to keep external stakeholders informed without giving them full platform access.

You can send notifications to:

  • External email addresses

  • External phone numbers for SMS messages

  • Project contacts such as HSRs, site managers, and clients

Project contacts can be selected directly within the workflow and their details can be edited inline.

This allows workflows to notify both internal users and external stakeholders when actions occur.

How to send notifications to external recipients

  1. Log in to BuildPass Admin.

  2. Open the workflow you want to edit.

  3. Add or edit a Send Email or Send SMS action.

  4. Enter the external email address or phone number in the recipient field.

  5. Save the workflow.

Sending notifications to project contacts

You can also notify existing project contacts directly from a workflow.

  1. Open the Send Email or Send SMS action in your workflow.

  2. Select recipients from the available project contacts.

  3. Edit contact details inline if required.

Project contacts can include:

  • HSRs

  • Site managers

  • Clients

Important to know

  • External recipients do not need a BuildPass account.

  • Notifications can be sent by email or SMS depending on the action used.

  • Project contact details can be edited inline when selecting recipients.

  • This feature allows workflows to notify stakeholders without giving them full BuildPass access.
